On-site and Off-site Capabilities

On-site and Off-site teams prepare, scan and image documents at your facility or ours.

Our in-house production site is equipped and staffed to manage projects of every scope and nature. For most businesses, shipping documents to our facility is the most practical and economic approach.

However, when government regulations, privacy or security measures mandate that documents are handled only within your facility, DSSI’s mobile, off-site division is readily available. These deployments are thoroughly coordinated and managed to ensure privacy, security and efficacy while creating the least possible disruption to your day-to-day operations.

Document Scanning & Imaging

Document Preparation and Imaging

Document preparation includes removing staples, paper clips and folds and inserting document separators. Documents that are water damaged, faded or otherwise damaged receive special handling to retain as much content as physically possible. Documents are then individually scanned to create digital images.

Indexing

Picture this. You desperately need a document – but you can’t remember exactly where it might be filed. Instead spending hours, perhaps working late searching for it, you take an educated guess, enter a few keystrokes into your computer, and instantly your record appears. You finish your project, and then you move on to the next.

The way in which your documents are indexed and stored is critical to making electronic data and document management successful. Our consulting process enables us to help you discover the best and most intuitive criteria for indexing and retrieving your documents. Each document is individually assigned one or multiple index fields to make searching for and retrieving it simple and logical. The result? It takes seconds – not minutes or even hours, to locate a document. And because electronic documents don’t need to be re-filed, the risk of misfiling or losing your document is completely eliminated.

DataBase Integration

Documents that have been captured, imaged and indexed can be stored in a multitude of ways. Our ability to develop custom applications in SQL Server and Microsoft Access gives you the flexibility to integrate your electronic images into an existing data base or store them in a self-contained data-base with a runtime application.

Litigation Support

As most of our clients in the legal sector can attest, the litigation system generates a lot of paper. And just about every correspondence is a legal document that must be handled and stored accordingly. Often, because of the sheer volume of paper, law firms are forced to warehouse documents off-site. Retrieving documents and files that are stored in remote locations can lead to costly delays.

DSSI offers law practices an economic and efficient alternative to the off-site storage facility. In addition to preparing, scanning, imaging and indexing documents, we provide electronic bates numbering and the ability to load files and import images and data to Summation and Concordance databases. All of the files in your offsite facility can be stored economically in our secure, web-based repository, giving you and your staff instant access to all of your files and documents – right when you need them.

Microfilm Conversion

Information stored on rolls and rolls of microfilm does not fit into the ECM model, as it is neither easily accessible, nor easily manageable. DSSI utilizes state-of-the-art equipment and the industry’s top image enhancement technologies for converting rolls of microfilm or microfiche cards into digital images. Once documents stored on microfilm (16mm or 32mm) microfiche (including jacketed fiche) or 35mm aperture cards have been converted into Tiff or PDF format, they can be indexed and integrated into a fully searchable, easily accessible data base, or integrated into your existing document management system.
